Effective Implementation of ERP System for the Pirogov First Volunteer Mobile Medical Unit
Implementation prerequisites
With the outbreak of full-scale war in Ukraine, the PDMSh faced the need to implement a comprehensive and efficient resource management system to support the growing need for enhanced medical assistance. One of the key challenges was the management of medicines, equipment and tactical resources used in combat conditions. The absence of a centralized accounting system caused difficulties in controlling supplies, expiration dates of medicines and ensuring the necessary resources on the front line.
Implemented solution
OntargIT has developed and implemented a comprehensive ERP system based on Microsoft Dynamics 365 for the PDMSh, which solved key accounting and resource management problems:
Automation of warehouse operations: One of the main achievements of the implementation was the adaptation of the system to work in the warehouse. Now, the storekeeper uses a tablet and a portable barcode scanner, which allows him to take inventory by scanning both unique barcodes from the manufacturer and his own labels or serial numbers. This simplifies the accounting of medicines and medical equipment, allowing you to quickly and accurately generate lists of goods and transfer them for picking.
Real-time resource management: The system supports detailed accounting and control of each resource unit according to the rotation, machine or specific medical crew that uses them. For example, each batch of medicines or equipment can be linked to a specific vehicle or medical team, which allows you to quickly check the availability and location of the necessary resources. This greatly simplifies the processes of rotating teams and moving equipment between vehicles or warehouses.
Accounting and movement between vehicles: The ERP system allows you to keep accurate records of equipment and medicines when moving between machines. When resources are transferred from one vehicle to another, the system automatically records serial numbers, barcodes, or other identification data, which allows you to track the resource at all stages of its movement. This significantly reduces the risk of loss and errors when moving resources between warehouses or vehicles.
Accounting for medical supplies: The ERP system allows you to track batches of medicines, monitor expiration dates and storage conditions. Thanks to barcode scanning, the system automatically adds medicines to accounting baskets, which allows for more efficient inventory.
Management of medical equipment: For each medical device, serial numbers and components are recorded, which allows you to quickly determine the condition of the equipment and its location. This makes it possible to quickly check the availability of equipment on a particular vehicle or within a medical team.
Control over tactical resources: Each item of tactical equipment, from body armor to clothing, is accounted for by size, condition (new or used), and level of protection. This allows us to promptly provide military and medical personnel with the necessary resources.
Integration with charitable initiatives: The system is integrated with volunteer projects, which allows the PDMSh to better coordinate the receipt of humanitarian aid and transparently track its use.
Results
The OntargIT team adapted the ERP system to the specifics of the
PDMSh’s work, ensuring continuous accounting of medicines, equipment and tactical resources. The use of portable devices, such as tablets, barcode scanners and thermal label printers, has made it possible to automate warehouse operations. In addition, the ability to record the movement of resources by machine, team, or rotation allows for effective real-time monitoring of resource movement, both in the warehouse and on the front line.
Implementation of the ERP system helped the PDMSh not only automate resource accounting but also make operations transparent and manageable. Adapting the system to the conditions of complex logistics and integrating it with volunteer projects allowed the PDMSh to work more efficiently in war conditions and ensure more accurate management of medical and tactical resources.
Thanks to the implemented solution, the PDMSh was able to optimize its activities and provide medical care at the front line with minimal loss of resources and time.
